Governance Statement
The Examination Cell of St. Wilfred's College of Arts, Commerce & Science functions under the overall supervision of the Principal and operates in strict compliance with the ordinances, rules, regulations, circulars, and notifications issued by the University of Mumbai from time to time. The Examination Cell ensures transparency, confidentiality, fairness, and timely execution of all examination-related activities in accordance with NAAC quality standards.
Roles and Responsibilities
Principal (Chairperson)
Provides overall leadership and supervision; ensures compliance with University of Mumbai regulations and NAAC norms; approves examination policies and critical decisions.
Examination In-Charge
Plans, coordinates, and monitors all examination activities. Manages day-to-day examination operations; implements schedules; supervises examination staff; ensures smooth conduct of examinations, ensures timely submission of examination data, reports, and compliance documents.
Examination Cell Members/Clerk
Preparation and distribution of hall tickets; attendance sheets; marks entry; record maintenance; official correspondence with the University of Mumbai.
Faculty Members
Perform invigilation, paper setting (internal), evaluation, moderation, and examination-related duties as per University norms while maintaining confidentiality.
IT / Technical Support Staff
Provides technical support for online portals, On-Screen Marking (OSM), data security, and troubleshooting during examination processes.
Standard Operating Procedure (SOP)
1 Purpose
The purpose of this Standard Operating Procedure (SOP) is to define the systematic functioning of the Examination Cell to ensure smooth, fair, transparent, and timely conduct of examinations as per University of Mumbai rules and regulations.
2 Scope
This SOP applies to all examinations conducted by St. Wilfred's College, including:
- University Examinations (UG & PG)
- Internal / Continuous Internal Evaluation (CIA)
- ATKT Examinations
- Revaluation / Photocopy Processes
3 Examination Cell Composition
- Chairperson: Principal

4 Pre-Examination Procedures
4.1 Planning & Scheduling
- Preparation of University Examination Timetable as per MU circulars
- Display of timetable on notice board and college website
4.2 Question Paper Process
- Appointment of External Paper Setters
- Collection of syllabus, question paper pattern, and model answers
- Secure receipt and storage of question papers
4.3 Student-Related Activities
- Verification of eligibility, attendance, and fee status
- Generation and distribution of Hall Tickets
- Preparation of student attendance sheets
4.4 Infrastructure & Logistics
- Allocation of examination halls
- Seating arrangement preparation
- Appointment and briefing of supervisors
5 During-Examination Procedures
5.1 Conduct of Examination
- Verification of student identity and hall tickets
- Distribution of answer books and question papers
- Maintenance of discipline and examination integrity
5.2 Unfair Means Handling
- Identification and documentation of unfair means cases
- Preparation of Unfair Means Report
- Submission to the Unfair Means Committee for further action
5.3 Documentation
- Proper recording of attendance
- Collection and sealing of answer books
6 Post-Examination Procedures
6.1 Answer Book Processing
- Bundling and coding of answer books
- Issuing answer sheets to evaluators
6.2 Assessment
- On-Screen Marking (OSM) at designated IT Lab (where applicable)
- Manual evaluation as per University guidelines
6.3 Result Processing
- Collection of evaluated answer books
- Marks entry and verification
- Declaration of results within stipulated time
7 Revaluation & Photocopy Process
- Acceptance of applications within University timelines
- Forwarding applications to the University
- Updating revised results, if any
8 Record Maintenance
Secure storage of:
- Answer books
- Attendance sheets
- Result records
- Unfair means cases
Maintenance period as per University norms
9 Confidentiality & Security
- Restricted access to examination-related documents
- Secure handling of question papers and results
- Compliance with University of Mumbai confidentiality norms
10 Review & Amendment
This SOP shall be reviewed periodically and updated as per:
